Most organizations that regularly produce contracts or proposals should consider using XML, and in particular the Darwin Information Typing Architecture (DITA). Why? These documents use the same or similar sections over and over again, with enough variations — such as customer names and select clauses — to become the basis of expensive horror stories when mistakes are made as a result of search-and-replace or copy-and-paste errors. New technologies based on DITA can significantly reduce the risk of mistakes, while saving time and stress for staff as well.

DITA 1.2 introduces the General Task Model as an alternative to the DITA 1.0 and 1.1 Strict Task Model. It also adds capabilities to the <steps> content unit for both task models.

DITA Metrics: Similarities and Savings for Conrefs and Translation

This paper shows an interesting similarity between the reuse mechanism of the DITA content reference feature and a translation memory system (TMS). We then discuss this similarity in terms of cost and show that the savings that can be achieved using DITA’s content reuse feature are similar to the savings possible using a TMS.
